In August 2016 A leading London University published a notice in OJEU for companies to register their interest in competing for the heating and air conditioning maintenance contract. Artic Building Services duly completed the PQQ and progressed to the ITT stage along with 5 other maintenance companies. Following evaluation of the ITT submission, Artic, and two other companies were shortlisted to presentation interviews. After consideration of their options Artic were selected as the contractor of choice.

The 10 day mandatory standstill period was observed, and the mobilisation process has begun. The contract is set to be mobilised within the first few months of 2017.  A challenging task, as the University is a multiple site contract ranging from educational, clinical and residencies environments. There are over 750 assets ranging from boilers, chillers, VRV units down to split AC systems.

During the mobilisation process we will be working hard in hand with the client to identify each asset was surveyed for location and condition, asset tagged with a unique identifier, populated onto the CAFM system and a PPM schedule formulated.

The contract is managed and serviced by a dedicated and exclusive team consisting of a contract manager, engineering team supervisor, and one combustion engineer, one AC engineers and one apprentice all of whom are supported by our dedicated administration team at our head office.

In addition to the PPM we undertake all the reactive calls, with varying SLA time constraints based upon the clients requirement and what they feel is critical. Project works are undertaken which have ranged from the replacement of chillers, boilers, AC units, major component changes.

Although an SME, Artic’s tailored approach to client relationships and asset management really set us aside from other FM providers. Our extensive experience working on large multi-site contracts and being the current contractor of choice for one of the worlds largest universities based in London, would have been a contributory factor in our success on this particular venture .
