King’s is a multi-campus university with over 150 buildings across the three main campuses and residences. There are over 3,500 assets ranging from 1MW boilers, 750kW chillers, 150kW VRV units down to 1.5kW split AC systems. During the mobilisation each asset was surveyed for location and condition, asset tagged with a unique identifier, populated onto the CAFM system and a PPM schedule formulated. We’ve been providing maintenance services to since 2000, but in June 2012 they published a notice in OJEU for companies to register their interest in competing for the heating and air conditioning maintenance contract. We completed the PQQ made it to the ITT stage along with 9 other companies, after evaluation 4 of us went on to interview… and we were selected as the contractor of choice.

The service

The 10-day mandatory standstill period was observed, and then the mobilisation process was started. The mammoth contract was mobilised over a 2-month period during which each of the 3,500 assets were surveyed for location and condition, asset tagged with a unique identifier, populated onto the CAFM system and a PPM schedule formulated. The contract is managed and serviced by a dedicated and exclusive team consisting of a contact manager, engineering team supervisor, one combustion engineer, two A/C engineers and one apprentice all of whom are supported by two administrators. In addition to the PPM we undertake all the reactive calls, with varying SLA time constraints based upon criticality of equipment. Project for the college have ranged from the replacement of chillers, boilers, AC units, to major component changes, to a R22 replacement programme. At the Denmark Hill campus, the modernisation of the Institute of Psychiatry main plant room, services pipework and controls system was delivered 4 weeks ahead of programme and below budget at £1.18m
